5. AI Chatbot & Automated Processing
Our website uses an AI-powered chatbot to help you get a quick quote for our services. What data is processed: • Conversation content (moving details, preferences, questions) • Language preference PII stripping: Before your messages are sent to the AI service, personal data such as phone numbers, email addresses, postal codes, and BSN numbers are automatically removed and replaced with placeholders. Addresses (street and house number) are retained as they are necessary for quote calculation. AI service provider: We use OpenAI (OpenAI, L.L.C.) for processing chatbot conversations. OpenAI operates under a Data Processing Agreement (DPA) that is compliant with EU data protection regulations. OpenAI does not use your data to train their models. Email service: Lead information (name and phone number, if you choose to provide them) is sent via Resend (Resend, Inc.) for email delivery to our team. Retention: Chat conversation logs are retained for a maximum of 90 days for service improvement and dispute resolution. Consent: You are asked for explicit consent before the chatbot conversation starts. You can decline and contact us directly instead.
6. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, or as required by law. Financial records are kept for 7 years in accordance with Dutch tax law. Chat logs are kept for a maximum of 90 days.
7. Data Sharing
We do not sell your personal data. We may share your data with: • Our moving team members (only relevant details needed for the move) • OpenAI (chatbot conversation processing, with PII removed) • Resend (email delivery of lead information) • Payment processors • Legal authorities when required by law
